Caring for the safety and wellbeing of our colleagues, guests clients and
customers during the coronavirus (COVID-19) outbreak is a top priority.
Cancellations – Before you accept a cancellation from a GROUP that claims
they are unable to hold their meeting due to COVID-19, please talk to your
Olympia Sales Person AND/OR your Olympia Revenue Manager.

If they are not traveling due to COVID-19 and want to cancel their group, here are
our options
1. Rebook it for a future date and pay a cancellation fee per the
contract. (post as an advance deposit to their future booking)
2. Pay the cancellation fee now and rebook later. This should be posted
as a cancellation fee. If they rebook at a later date, then apply it as an
advance deposit.
3. Rebook it now and no cancellation fee.
4. Let it go. This is our last option. And may come up for a variety of reasons.
Please make sure we are all reviewing this before we let it go.

Steps to take for each requested cancellation
Ask for the cancellation in writing.
Submit the cancellation request to your OHM DOS and REV MGR
with original contract details, include their expectations and
your suggestion on how to handle this.
Ask your client for less than 24 hours to review
We, as a group, will make a good business decision
Important Next Steps
• Rebooking requires a new contract.
• Rebook with in next 365 days of arrival date if possible
• Hold their deposit or cancellation fee and apply to their next
booking as an advance deposit. IT IS NOT REFUNDABLE.

If the hotel agrees to offer to rebook, hotels are advised to include
language stating that if the group rebooks and holds the same event
over the new event dates, the group gets a rebook credit (whatever you
charged for the cancellation), this credit cannot be applied to a future
cancellation or toward performance damages/fees, and the credit is
retained by the hotel if the rebooked event doesn’t take place.
